How to Plan an Event: The Printable PDF Checklist

A Step-by-Step List to Planning an Incredible, Organized Event

Planning an event can be daunting, and many people shy away due to the sheer amount of logistical planning that goes into it. However, with a bit of guidance and organization, event planning can be a fun and rewarding process.

How to Get Started

To help you get your event off the ground, we’ve created this printable PDF checklist for event planning that covers all the bases, from event permits to linen rentals and beyond.

There are a few things you should know before diving into this checklist, though. First, you’ll want to lay a strong foundation by organizing your event. These organizational aspects include picking a time and place, creating a budget, honing in on your vision for the event, and recruiting event partners and sponsors. These key details of your event should be ironed out before you enter the planning stage.

For the items outlined on this checklist--some of which will not apply to all events, but we like to be thorough--it’s important to consider the following:

Who will be in charge of pickup, dropoff, build up, and tear down for each part of the event?

No one likes a deflated bouncy house, after all.
Is this part of my planning already covered?

Your venue may have a restricted list of caterers, or your caterer may supply linens and plates. Always check first so you don’t overspend.
What is my timeline for deposits and payments for each aspect of the event?

Additionally, include in your budget a tip for all necessary staff.
